Closings and Refinancing of Homes and Condominiums
CMS provides an administrative review of the Associations Documents, including a complimentary review of the Federal and State Statutes, Articles of Incorporation & By-Laws, Declaration and Covenants, Corporate Resolutions, Meeting Minutes, Rules and Regulations, Architectural Control Design Guidelines, Community Policies and the Insurance policy. In addition, we provide closing services for builders and individual homeowner sales for new homeowners, which include the homeowners assessment letters and all documents required for closing. After closing, we make sure the new homeowner receives all information and payment information needed.
Administrative Services for Homeowners and Office Properties in Indiana
Contractors/Vendors/Suppliers
CMS will provide the Association with competitive bids for all capital projects and service contracts. We supply the Association with “approved vendor list” of licensed contractors/vendors/suppliers. All approved vendors and contractors who work with us must provide insurance certificates showing the Association and the management company as additionally insured before any work begins. CMS utilizes purchase and work order systems for all projects. We will coordinate and supervise all work done by contractors and inspect all work prior to approving payments.

Board of Directors, HOA Committee and Association Meetings
Our Community Manager or representative will attend periodic/quarterly/annual meetings as specified in each management service contract. The Community Manager will provide copies of Secretary’s minutes, President’s Agenda, financial report for each month with budget variance report, work order status report, and property management report to each board member at or before each board meeting. The Community Manager will coordinate vendor presentations for meetings and meet with the association attorney and the Board regarding legal issues, proposed amendments, etc. As well as, complete preparation for Annual Meetings.

Correspondence/Communications
Interactive websites for each community is established at the onset of our management. These websites are custom for each community and include online payment options, announcements, newsletters and community access to the financial reports, budget and association documents. Important links provided from the CMS website to state and local governments and public and private agencies to assist homeowners with all pertinent information relating to local ordinances, state or federal laws that may affect the Association.
